Standalone AI Avatar Agent · For trade & construction operators

The agent. Standalone.

For HVAC contractors, roofing crews, solar installers, kitchen & bath firms, plumbing & electrical service businesses, custom home builders, and other trade & construction operators. Three tiers. Premium build. Replaces the dispatcher, the appointment coordinator, and the inside sales rep — who never get hired together. 12-month engagement. Annual partnership.

What we actually replace

Not your front-desk hire. Your front-office function.

Most service businesses spend $150,000 to $300,000 a year building a fragmented front office — receptionist, appointment coordinator, after-hours answering service, intake coordinator, sometimes an inside sales rep on top of that. Three to six people doing pieces of one job that none of them does completely. None of them are there at 9pm on Sunday. None of them speak the customer’s first language. None of them remember the conversation from three weeks ago.

One agent. From $1,497 a month. Picks up every call. Books every appointment. In every language your customers speak. Across every channel they use. 24 hours a day, 365 days a year. Doesn’t replace your front-desk hire. Replaces your front-office function.

The capacity gap · Visualized

What your team can do. What one agent does.

Side-by-side. Honest math. A typical 3-to-6 person front-office team at a $2M service business compared to a single Account Manager tier. Cost is the last column — not the headline. The headline is what your team physically cannot do at any price.

Capability
Front-office team
3–6 humans · $150K–$300K/yr
One AI agent
Account Manager · $4,997/mo
Hours covered per month
168 hrs (9–5 only)
720 hrs (24/7/365)

Answering service only (message-taking, no booking)
Full sales conversations (qualify, book, follow-up)
Concurrent conversations
3–6 max (one per human at peak)
Unlimited (parallel sessions)
Languages

~95 chat · ~30 voice (production-quality)
Channels covered
Phone · sometimes email (rarely all)
Phone · Chat · SMS (unified context)
Response time
~12 min avg (hours when missed)
<10 sec (every time)
Conversion rate (inquiry → booked)
18–22% (industry average)
35–40% (trained on your business)
Consistency
Variable (per person, per shift, per mood)
Identical every time (tunable to your standard)
Cost
$12,500–$25,000/mo fully loaded
$4,997/mo all-in

Front-office team cost assumes a typical $2M service business: receptionist + appointment coordinator + after-hours answering service + intake coordinator + occasional ISA. Conversion rate ranges drawn from industry benchmarks (HubSpot, Salesforce, ServiceTitan, Drift). Account Manager conversion rate based on trained-deployment performance across deployed clients in adjacent verticals.

Cost per conversation

What this actually costs per customer interaction.

Front-office team
$18,000/mo combined cost · ~360 conversations/mo
$50/conv
Plus overflow that never gets answered
50×
cheaper per conversation
One AI agent
$4,997/mo · up to 5,000 conversations/mo
$1/conv
Every conversation. Every channel. 24/7.

Per-conversation math: $18K/mo human team handling 360 monthly inquiries (typical mid-size service business) → $50 per conversation. Account Manager at fair-use ceiling of 5,000 monthly conversations → $1 per conversation. The gap widens as inquiry volume scales — human cost grows linearly, agent cost stays flat.

Competitive timing

The window is closing. Fast.

Voice AI adoption in service businesses has tripled in 18 months. The early adopters in your market are already capturing the leads your team misses. By the end of 2026, AI front-office coverage will be the baseline. The first deployer in any local market typically captures and holds the dominant share.

01 · Capability

One trained agent. 720 hours a month. Every language your customers speak.

Trained on your services, your pricing, your competitors, your brand voice. Tunable from customer-service-warm to consultative-advisor to aggressive-closer — your choice. Calendar-native: sees your availability and books directly. Cross-channel: phone, chat, SMS — same context, same conversation, never starts over. Hands off to a live human during business hours when the lead is hot.

02 · Math

Costs less than the entry-level hire you’ve been trying to make for two years.

Replaces the $150K–$300K/yr fragmented front-office function — receptionist, appointment coordinator, after-hours service, intake coordinator. One Account Manager tier at $4,997/mo does the work of all of them, 24/7, in every language, with 2x the conversion rate. The math isn’t “20% cheaper than a human.” The math is 50x cheaper per conversation, while covering hours and channels the human team can’t reach at any price.

03 · Timing

The first business in your local market to deploy owns the next decade.

Three blocks from where you’re reading this, a competitor in your vertical has already deployed an AI front office or is about to. Right now they’re booking the consultations, the showings, the test drives, the discovery calls that your team didn’t get to in time. Catching up takes 6–12-months once you start. Starting tomorrow means you’re competing for second place. Starting today means you set the pace and everyone else reacts. This is the single highest-leverage decision a service-business operator will make in 2026.

How to pick

Three tiers. Each one replaces a specific role.

Receptionist replaces the front desk coordinator who answers and books appointments. Sales Rep replaces the inside sales rep who actively sells, qualifies, upsells, and handles objections. Account Manager replaces the receptionist plus the answering service plus the after-hours coverage — answers actual phone calls 24/7.

Every tier integrates with your calendar (Google Calendar, Microsoft 365), sends SMS confirmations and reminders, and includes the conversation logging, anonymization pipeline, and Consent Pack required for legal compliance — same infrastructure we use on Studio Máté’s own agent, Sofia.

Built for · seven verticals

Trade & construction operators. Premium builders.

Each vertical has its own dominant operational software, its own buyer behavior, its own bottleneck. The agent is configured to your stack on day one of onboarding.

Vertical · 01

HVAC Contractors

A no-cool emergency at 9:47pm Sunday. The homeowner calls four contractors. Three go to voicemail. The Account Manager picks up in 8 seconds, qualifies urgency, dispatches the on-call tech with unit make and model. The $4,200 condenser replacement starts Monday.

Vertical · 02

Roofing Contractors

200 calls in 48 hours after a Cat-3 hurricane crosses your service area. Your office handles 40. The Account Manager tier handles all 200 — qualifies insurance vs. cash, captures claim-window dates, books inspections in priority order. The competition’s voicemail loses, you don’t.

Solar Installers

A homeowner researches at 10:47pm after opening a $387 electric bill. The Account Manager tier answers ITC + NEM 3.0 + financing questions at homeowner-research hour, models the system at his sq footage, confirms 200A MSP, books the site assessment. The $48K system closes in 14 days instead of 14 weeks.

Kitchen & Bath Design Firms

A homeowner finishes a Houzz scroll Saturday at 3pm. She inquires with three showrooms. The Sales Rep tier books her into your senior designer’s calendar in under 5 minutes — budget qualified, Pinterest matched, NKBA-grade conversation. The $92K kitchen renovation signs because two competitors didn’t respond until Monday.

Custom Home Builders

A couple sold their tech startup and wants to build on their 1.4-acre lot. Your senior PM’s Saturday is too valuable to waste on tire-kickers. The Account Manager tier runs lot + zoning + financing pre-qualification, confirms spouse alignment, and books only $2M+ qualified prospects onto the PM’s calendar.

The premium build. Not the cheap chatbot.

Built on best-in-class reasoning — the most capable models available. Conversations sound like a person, not a script.

Custom-trained per business — we ingest your service catalog, pricing, brand voice, FAQ database, and operational rules. The agent doesn’t read from a generic script; it knows your business.

Legal compliance built in — GDPR · Quebec Law 25 · CCPA · PIPEDA. Conversation logging, anonymization pipeline, In-Conversation Consent Pack on every deployment. Audit-trail-ready from day one.

Onboarding covers — agent training, integration setup, SMS template setup, brand voice configuration, voice persona (Account Manager +), and a 30-day post-launch optimization sprint.

Language coverage · What “unlimited” means by channel

Honest about the limits.

Chat & SMS — truly unlimited. The agent’s reasoning handles ~95 languages fluently. If your customer types in Tagalog, Wolof, Vietnamese, Hungarian, Polish, Mandarin, or Hindi, the chat agent responds natively. No restriction. No tier upgrade required.

Voice (Account Manager) — ~30 languages with fluent voice synthesis. Voice requires text-to-speech and speech-to-text, which support roughly 30 languages with production-quality voice rendering. Sofia is trained natively in English, Spanish, and French. Other languages are technically supported but not part of our standard training stack — available on request for custom engagements.

If your business needs a specific language outside the voice list, tell us on the discovery call. In most cases we can confirm coverage and quality before the engagement starts; in edge cases we’ll quote a custom voice configuration scoped separately.

Engagement terms

Simple. Operator-friendly.

12-month engagement. We sell annual partnerships, not month-to-month subscriptions. The reason is operational: agent training, voice persona work, and content library setup compound over months. Customers who commit to a year see the actual performance curve; month-to-month creates churn before the agent has had time to learn the business.

30-day satisfaction guarantee on onboarding. If the agent isn’t deployed and performing within 30 days of onboarding kickoff, you get a full refund of the onboarding fee and we walk away clean — no monthly fees charged, no obligation continued.

No auto-renewal. At the end of Year 1 the engagement does not roll over silently. We sign a new agreement to continue. The renewal is your active choice, not our default behavior.

Early termination. If you need to exit mid-engagement, a 50% buyout of the remaining months releases you from the contract. No collections drama, no clawbacks — we’d rather you leave well than feel trapped.

One-time onboarding fees: Receptionist $1,497 · Sales Rep $2,997 · Account Manager $4,997. Covers agent training, integration setup, brand voice configuration, voice persona (Voice +), and 30-day optimization sprint.

Tier upgrades prorate instantly. Pay the difference for the current month, new tier locks in next cycle. Downgrades follow the same logic.

Account Manager fair-use: Unlimited inbound minutes for normal business use. Sustained usage exceeding 2,000 inbound minutes/month for three consecutive months may trigger an upgrade conversation — we’ll always reach out first.

What’s not included: phone number rental ($1–3/mo per number — your direct cost). Outbound calling (Account Manager is inbound only at launch).

Want the full system?

The agent works best with the rest of the stack.

The AI Avatar Agent answers and books. But where do the leads come from in the first place? An SEO content engine that ranks for your service keywords, and a website that converts the traffic the agent talks to. Studio Máté Stacks bundle all three — AI Avatar Agent + SEO + Website — working as one synchronized system.
